Roles and Responsibilities


  • Overseeing all Facilities management operations, travel requirements and events management.
  • Provide guidance to admin team managing travel desk.
  • Facilities and Event Management for organizing meetings, conferences, along with travel and stay related arrangements.
  • Manage Security, Pantry, House Keeping and all their related administrative aspects.
  • Procurement and Vendor management with effective negotiation to meet business requirements and optimal cost.
  • Engage, establish and monitor agreement with key vendor like hotels, travel partners, vendors and key suppliers.
  • Ensuring compliance and liaison with relevant authorities for obtaining permissions and licenses. Collaborate with relevant stakeholders to ensure seamless business execution.
  • Collaborative leadership by leading an engaged and skilled workforce to build an environment of collective responsibility and accountability.
  • Plan and monitor the day-to-day running of administrative operations to ensure smooth progress.
  • Manage financial operations, budgets and resource allocation for achieving cost optimization.
  • Evaluate regularly the efficiency of business procedures according to organizational objectives and apply improvements.
  • Facilitate creation of reports and dashboards of complete admin activities and their costing against the given budget.
  • Monitor daily business operations and address potential issues as and when they arise.
  • Collaborate with CSR committee in driving initiatives through collaborative partnering with different internal and external stakeholders.
  • Ordering and managing office supplies, equipment, and other resources.
  • Overseeing building maintenance, repairs, and security.
  • Recruiting, onboarding, training, and supervising junior admins.
  • Creating a positive and productive work environment for the administrative staff.
  • Providing feedback, conducting performance reviews, and setting goals for individual team members.
  • Ensuring that work is properly distributed and that everyone is utilized to their full potential.
  • Booking venues, catering, AV equipment, and managing attendee lists

The ideal candidate should have


  • 10-15 years’ experience in Administration.
  • Experience in setting up new facilities and furnishing along with maintenance of all assets and infrastructure will be added advantage.
  • Experience with vendor negotiation. 
  • Demonstrated expertise in procurement and achieving maximum value for money.
  • Ability to work under pressure and multitask.
  • Proven ability to lead and manage a team.
  • Experience working with diverse teams of consultants from different backgrounds and expertise.
  • Excellent organizational and time management skills
  • Excellent communication and problem-solving skills.
  • Effective stakeholder management skills
  • Experience with developing PBI dashboard for analysis is desirable.
