About the role


Sales Coordinator provides administrative and sales support to the Sales Team, Conferenceand Services Team as needed. Sales Coordinator works closely with Sales Managers based on commercial objectives to convert business opportunities including but not limited to preparation of proposals and contracts, seamless data input and data analysis, handling various sales communications and maintains multiple databases.


The candidate must be a team player with strong customer care, excellent attention to detail and interest in sales and catering.


What you will do


  • Support Sales Managers by responding to general inquiries and client requests, preparing sales documents (proposals, contracts, presentations) and actively conducting follow-up activities.
  • Providing administrative support and performing other tasks and projects as required by the Director of Sales and Director Of Marketing.
  • Respond to inquiries in absence of Sales Manager, submit RFP’s on Cvent and similar platforms.
  • Assist in planning and execution of site inspections, fam trips, client entertainment and similar sales activities.
  • Answer incoming phone calls and pre-qualify leads in a time-efficient and professional manner.
  • Comply with Four Seasons standards for sales and marketing, while working closely with all team members of the Sales & Marketing Team.
  • Prepare internal communication and attend internal meetings in order to share information efficiently and in professional manner.
  • Use company wide programs and platforms for group business development.
  • Manage and maintain Golden Sales & Catering high quality data input including account creation, account activities, contact information, client email lists, bookings] etc. in accordance with Four Seasons standards.

The Coordinator provides administrative assistance to Catering and Conference Service Managers assisting with contracts, BEO’s, and office administration :


  • Prepare accurate written correspondence including letters, contracts, reports, banquet event orders, schedule of events, printed menus, and e-mails.


  • Facilitate all aspects of internal Four Seasons Resort Meeting Program under the guidance of the Catering Manager .


  • Maintain the various Catering file systems, both electronic and paper, including Account Files, Program Evaluation Database, Master binders for Banquet Event Orders and Resumes.


  • Comply with Four Seasons standards for sales and marketing, while working harmoniously and professionally with co-workers.


  • Periodically assist with front of house operations including greeting and directing guests, manning hospitality desks, and working with Banquets on ‘quick sets’ or teardowns.


What you bring


  •  College degree.
  • Excellent in the use of Microsoft Office; PMS and Golden S&M knowledge is considered as advantage.
  • Excellent writing, presentation, communication and organizational skills.
  • High attention to detail, proactive and customer service-oriented approach.
  • Ability to multi-task in a fast-paced environment.
  • Proficient bilingual oral and writing skills (French / English).
