Job Overview: 

We are seeking a highly organized and proactive individual to join our team as a Bilingual Personal Assistant to the General Manager. The successful candidate will provide comprehensive support to the GM, facilitating smooth communication, managing correspondence with internal and external stakeholders, and ensuring the efficient operation of the executive office.


Key Responsibilities:

1. Administrative Support:

• Manage the GM's calendar, schedule appointments, and coordinate meetings, both internal and external.

• Prepare agendas, presentations, and other materials for meetings and conferences.

2. Communication:

• Serve as the primary point of contact for the GM, screening and prioritizing incoming calls, emails, and correspondence.

• Draft and edit documents, correspondence, and reports in both Arabic and English, maintaining accuracy and professionalism.

• Translate documents, emails, and other materials from Arabic to English and vice versa as needed.

3. Vendor and Company Correspondence:

• Communicate with vendors, suppliers, and service providers on behalf of the GM, addressing inquiries, negotiating contracts, and resolving issues.

• Manage correspondence with external companies, clients, and stakeholders, representing the GM professionally and courteously.

• Maintain organized records of communications, contracts, and agreements for reference and follow-up.

4. Office Management:

• Oversee the smooth operation of the executive office, including maintaining office supplies, equipment, and facilities.

• Coordinate with other departments to ensure timely completion of tasks and projects assigned by the GM.

• Handle confidential and sensitive information with discretion and confidentiality.

5. Technical Skills:

• Demonstrate proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.

• Utilize technology and digital tools to streamline administrative tasks and enhance productivity.

• Stay updated on industry-specific software and tools to improve efficiency and effectiveness.


Qualifications:

• Fluency in both Arabic and English, with excellent verbal and written communication skills in both languages.

• Proven experience as a personal assistant, executive assistant, or similar role, preferably supporting senior management.

• Strong organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously.

• Demonstrated ability to work independently and proactively, with minimal supervision.

• Exceptional attention to detail and accuracy in all tasks and communications.

• Proficiency in MS Office Suite and other relevant software applications.

• Bachelor's degree in business administration, communications, or a related field is preferred.
